Kate Newey is the founder of LIVE Chicago Team, a multi-million dollar top-producing, award-winning, core values-led real estate company on a mission to guide people home—in their lives, their bodies, and their spaces.

What started as a high-touch real estate practice has evolved into a full-service, in-house, white-glove experience that supports clients through every step of the real estate journey—buying, selling, investing, mortgage, title, and beyond. The business is expanding beyond the Chicago area into a borderless real estate model, designed to help people relocate and live with intention—anywhere in the world.

Kate and her husband Dan are also passionate about preserving historic homes in the Chicagoland area, working to restore the character and integrity of neighborhoods rather than watching them disappear into generic development. Their work is rooted in deep love for their hometown, community legacy, and long-term impact.

Real estate is just one part of the vision. Kate’s larger body of work includes retreats, speaking, writing, and a forthcoming podcast. With over two decades experience in teaching yoga and coaching group fitness classes, her long-term mission is to help people reclaim their presence, power, and purpose—to live more fully, more boldly, and more freely.

The business is expanding rapidly, and in order to fully step into this next phase of impact, Kate is building out her team and looking to attract a high-level administrative professional to partner with her to help run the real estate parent company and its subsidiaries with excellence, confidence, and heart.

How You Will Impact Kate and The Business

Foundational Support

  • Own and Optimize Executive Time: Strategically manage CEO’s calendar and protect her time by aligning appointments, travel, and priorities with her highest-impact activities—ensuring intentional scheduling across business, personal, and visionary domains.

  • Centralize and Streamline Communication: Monitor and manage all inbound communication—emails, DMs, VMs, texts—and act as a thoughtful gatekeeper and proactive responder, maintaining the voice and tone of the CEO in all exchanges.

  • Bridge Personal and Professional Life: Act as a liaison between CEO’s business and personal responsibilities—coordinating wellness, social, household, and lifestyle logistics to ensure seamless integration and execution across all commitments.

  • Company-Wide Calendar and Meeting Strategy: Own and manage the master company calendar including standing meetings, launches, travel, and major events—ensuring all teams are synchronized and operating with clarity and foresight.

  • Logistics and Travel Execution: Book and manage all travel, accommodations, and on-site support for CEO and the executive team—joining in person when necessary to ensure a white-glove experience at every turn.

Project Management

  • Renovation and Staging Oversight: Coordinate with Project Managers on historic home renovations and listing prep; oversee staging logistics, inventory flow, vendor coordination, procurement, and storage management alongside Staging Manager. 

  • Influencer and Brand Partner Integration: Identify aligned brand opportunities and manage influencer workflows—including sourcing, contracts, payment processes, and tracking performance benchmarks or deliverables.

  • Event and Speaking Engagement Execution: Lead planning and logistics for all events including retreats and speaking engagements; oversee podcast guest sourcing, guest appearances, and coordination for batching and bookings.

  • Cross-Functional Project Management: Utilize Trello & Slack to lead and track CEO and team-related initiatives—ensuring all action items are calendared and milestones are met, while keeping CEO and the team updated on progress.

  • Visibility and Content Support: Capture and support organic content creation through iPhone footage during live moments (e.g., media, travel, events) and coordinate with marketing to align this content with the brand’s evolving media strategy.

Your Background / Experience

As the ideal candidate you have supported high-performing executives and founders in fast-paced, high-growth environments. You are not just task-oriented—you are highly intuitive, and accustomed to being the strategic right-hand in complex, high-visibility businesses. You know how to move with urgency while maintaining precision.

You have:

  • 5+ years of experience as a high-level administrative professional supporting C-suite or founder-level leaders, ideally within entrepreneurial, real estate, lifestyle, or creative businesses.

  • Proven experience managing executive time, communication, and logistics—including complex calendars, inboxes, travel, and project follow-through across multiple functions.

  • Strong organization and coordination skills—you know how to keep moving pieces aligned, timelines tight, and people accountable.

  • High proficiency with tech systems and tools—including Google Workspace, project management software, like Trello or similar, and AI notetaking platforms.

  • Exceptional written and verbal communication skills—with the ability to represent an executive’s voice and energy across emails, DMs, meetings, and external correspondence.

  • A track record of being trusted with high-level access and responsibility—with the executive presence, discretion, and judgment to match.

You are:

  • Based in the Chicago area—available for consistent on-site work with the CEO in both the city and suburbs. Relocation assistance is not offered for this role.

  • Process-oriented but flexible—you create clarity and structure, but thrive in dynamic environments.

  • Naturally proactive—you solve problems before they surface and always think three steps ahead.

  • Steady under pressure—calm, clear, and committed, even when things are moving fast.

Compensation & Benefits

  • Base Salary: $80,000

  • Bonus Eligibility: Performance-based, tied to company and individual milestones

  • Paid Time Off: Unlimited PTO + All U.S. federal holidays

  • Year-End Break: Office closed the final week of December and the first week of January
